Job Description

The Administrative Coordinator for Talent Acquisition and HR Support plays a pivotal role in enhancing the efficiency of our human resources department. The role involves a broad spectrum of administrative duties that support the recruitment activities, facilitate communication, and maintain the HR database. This position is perfect for someone with exceptional organizational skills, attention to detail, and the ability to handle sensitive information. The Administrative Coordinator will collaborate with recruiters, hiring managers, and the HR team to ensure a smooth recruitment process and offer excellent support in HR operations. Candidates should have strong interpersonal skills to manage various interactions and the agility to adapt to changing priorities in a fast-paced environment.


Responsibilities

  • Coordinate and manage daily administrative tasks to support talent acquisition activities.
  • Schedule and organize interviews, meetings, and events with hiring managers and candidates.
  • Assist in the preparation of recruitment materials and presentation collaterals.
  • Maintain updated candidate and employee database records with attention to confidentiality.
  • Prepare and execute recruitment communications, including offers and rejection letters.
  • Compile and update regular reports on recruitment activity for senior management.
  • Coordinate background checks, references, and pre-employment screenings effectively.
  • Manage and prioritize general inquiries regarding HR policies and procedures.
  • Collaborate with HR to ensure a smooth onboarding process for new employees.
  • Support recruitment marketing efforts through social media and job boards.
  • Facilitate communication between candidates, HR, and recruitment teams.
  • Assist in ad-hoc HR projects and provide general support as needed.

Requirements

  • Bachelor's degree in Human Resources, Business Administration, or related field required.
  • Proven experience as an administrative coordinator or in a similar role preferred.
  • Strong organizational skills with an attention to detail and accuracy.
  • Excellent written and verbal communication abilities are essential for this role.
  • Proficiency in Microsoft Office Suite and HRIS systems is highly desirable.
  • Ability to handle confidential information with discretion and professionalism.
  • Excellent time management skills and ability to prioritize multiple tasks effectively.
