This position works out of our Dubai location in the Nutrition division.
This is a fixed term contract role for 1 year

Job Purpose
The Administrative Assistant provides comprehensive administrative, operational, and coordination support across the MEAP regional teams (Finance, Medical, IT) by coordinating schedules, communications, budgeting administration, supplier onboarding, contracting, invoices review and payments, documentation management, and cross-functional execution to ensure smooth regional operations.
What Youll Do
- Provide daily administrative support to regional teams, including leadership calendar management, travel coordination, expense processing, and maintenance of regional databases, contact lists, and shared repositories.
- Coordinate regional events, workshops, business reviews, and leadership visits, including logistics and preparation of supporting materials.
- Prepare and submit expense reports, purchase orders, and vendor onboarding requests ensuring adherence to corporate compliance requirements.
- Own and manage Rapidflow operational tool for raising Purchase Orders and Budget Management (with Finance alignment) including user access, updates, releases, and vendor coordination.
- Manage procurement onboarding requirements, including vendor documentation, internal assessments, Legal/Quality reviews, and cybersecurity risk evaluations.
- Validate and process MPSA and SOW documents, route them for required approvals/signatures, and proactively manage contract renewals.
- Review vendor invoices, verify documentation alignment with checklist and SOW terms, track billing milestones, and ensure timely payment processing.
- Prepare month end accounting submission and manage Intercompany Billing (ICB) workflows through CORA in coordination with Corporate Finance.
- Maintain organized contract, vendor, and financial files in shared folders; ensure compliance with retention policies and support internal/external audits.
- Manage all approval and signature workflows through DocuSign and maintain clear communication with partners to ensure timely processing.
Qualifications & Experience
- Bachelor’s degree in Business Administration or equivalent.
- Minimum 5 years experience in providing administrative support.
- Proficiency in Microsoft Office applications such as Outlook, Word, Excel and PowerPoint.
- Excellent interpersonal, written and verbal communication skills.
- Strong organizational and follow-up skills, as well as attention to detail.
- Ability to handle multiple priorities and operate with a sense of urgency as required.
