PulseMediaNL is seeking a highly organized and detail-oriented Administrative Assistant Specialist to join our remote team. This role is essential in supporting administrative operations, coordinating workflows, and ensuring efficient communication and organization across departments in a fast-paced remote environment.
Responsibilities
Administrative Support & Coordination
Manage calendars, meetings, appointments, and administrative schedules efficiently
Handle email correspondence and maintain organized communication channels
Prepare reports, presentations, spreadsheets, and business documentation
Support daily administrative and operational activities across departments
Workflow & Task Management
Coordinate tasks, deadlines, and follow-ups to ensure smooth operations
Assist teams with prioritization and maintaining workflow efficiency
Track assignments, documentation, and project-related administrative tasks
Support operational initiatives and cross-functional coordination activities
Communication & Documentation
Serve as a point of contact between internal teams and external stakeholders
Maintain accurate records, files, and administrative documentation
Ensure professional and timely communication across all channels
Assist with updating internal procedures, forms, and support materials
Systems & Process Improvement
Use productivity tools, CRM systems, and administrative platforms effectively
Maintain data accuracy and integrity across systems and records
Identify opportunities to improve administrative workflows and processes
Follow established procedures and contribute to operational efficiency
Requirements
About the Ideal Candidate
1–3 years of experience in administrative support, office coordination, or a similar role
Strong organizational and multitasking abilities
Excellent written and verbal communication skills
High attention to detail and strong problem-solving skills
Ability to manage priorities effectively and work independently
Professional, proactive, and dependable attitude
Comfortable working in a remote environment
Familiarity with productivity tools such as Google Workspace, Microsoft Office, or similar platforms is a plus
Experience with CRM or administrative systems is a plus
High school diploma or equivalent required; additional education in business administration or a related field is a plus
