Job Description

As an Administrative Assistant, you will play a pivotal role in ensuring the smooth and efficient operation of our office. You will be the backbone that supports our administrative activities by managing a wide array of tasks, ranging from standard clerical duties to more complex organizational projects. Responsibilities

  • Manage and maintain executives' schedules, including coordinating and scheduling meetings.
  • Prepare correspondences, reports, and presentations with high accuracy and efficiency.
  • Arrange and coordinate travel itineraries, accommodations, and logistics.
  • Organize and maintain the office filing system for easy document retrieval.
  • Answer and direct incoming phone calls to appropriate personnel ensuring professionalism.
  • Provide administrative support to various departments as needed.
  • Track office supply inventory and place orders to maintain adequate stock levels.
  • Assist in preparing for meetings by setting up conference calls and distributing materials.
  • Manage and update contact lists and client information databases regularly.
  • Assist in project coordination, monitoring progress, and meeting deadlines.
  • Support HR activities like scheduling interviews and maintaining employee records.
  • Collaborate with the finance department to prepare expense reports and budgets.

Requirements

  • High school diploma or equivalent; additional qualifications are a plus.
  • Proven experience as an administrative assistant or similar role required.
  • Exceptional organizational and time management skills are essential.
  • Strong verbal and written communication skills with attention to detail.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Discretion and confidentiality are paramount to this position.
