The role of the Administrative Assistant 31M26 is pivotal in ensuring the smooth operation of organizational processes by providing crucial support to managers and executives. Additionally, you will be responsible for enhancing productivity within the office setting and facilitating daily operations by performing a variety of administrative tasks.


Responsibilities

  • Manage and organize daily schedules and calendars for executives and managers efficiently.
  • Coordinate meetings, appointments, and travel arrangements seamlessly for office personnel.
  • Prepare and distribute communications, such as memos, emails, and other correspondence.
  • Maintain up-to-date filing systems, both physical and digital for ease of access.
  • Conduct research and compile data to create reports that aid managerial decision-making.
  • Assist in onboarding new employees by organizing orientation sessions and preparation of materials.
  • Manage procurement of office supplies and ensure inventory levels are adequately maintained.
  • Handle incoming and outgoing phone calls and forward them to the appropriate departments.
  • Process and manage company documentation, ensuring accuracy and confidentiality of all transactions.
  • Support the team with various administrative tasks during high-pressure situations.
  • Collaborate with various departments to enhance workflow and achieve organizational objectives.
  • Maintain a professional work environment and uphold company policies and procedures.

Requirements

  • Proven experience as an administrative assistant or in a related role.
  • Exceptional organizational and time-management skills are crucial for success.
  • Strong verbal and written communication skills are essential for this role.
  • Proficiency in MS Office Suite and other common office software applications.
  • High school diploma required; an associate's or bachelor's degree is a plus.
  • Ability to handle sensitive information with utmost confidentiality and professionalism.
  • Demonstrated ability to work independently and make critical decisions efficiently.
