The role of an Administrative Assistant is vital in ensuring the smooth and efficient operation of an organization. As an Administrative Assistant, you will handle day-to-day office duties, assist in preparing documents, coordinate meetings, manage schedules, and communicate with different departments to ensure that all administrative activities run smoothly. Responsibilities

  • Manage and maintain executives' schedules, including scheduling meetings and appointments.
  • Prepare, format, and distribute documents, memos, reports, and correspondence.
  • Serve as a primary point of contact for internal and external communications.
  • Assist in coordinating and organizing company events and meetings.
  • Receive and screen phone calls, and redirect them appropriately.
  • Maintain organized filing systems, both electronically and physically.
  • Monitor and reorder office supplies to ensure no shortages occur.
  • Support in preparation of presentations, reports, and meeting materials.
  • Assist with travel arrangements and accommodations for executives and staff.
  • Facilitate communication and coordination between different departments.
  • Provide support to finance team by managing invoices and receipts.
  • Handle sensitive and confidential information with utmost discretion.

Requirements

  • Proven experience as an Administrative Assistant or Office Manager.
  • Excellent written and verbal communication skills are necessary.
  • Proficient in MS Office, including Word, Excel, and PowerPoint.
  • Strong organizational and multitasking abilities are essential.
  • High level of attention to detail and problem-solving skills.
  • Great time management skills and the ability to prioritize tasks.
  • A high school diploma is required, although higher education is preferred.
