The Administrative Assistant (25N25) plays a vital role in ensuring smooth operations within an organization. This dynamic position requires a detail-oriented individual with excellent organizational and multitasking skills. The Administrative Assistant 25N25 will be responsible for a variety of tasks that support the efficiency and effectiveness of the team. This includes managing correspondence, scheduling meetings, maintaining records, and providing support to staff members. The ideal candidate will have a professional demeanor, strong communication skills, and the ability to handle sensitive information with discretion. Responsibilities

  • Coordinate and schedule meetings for team members and management staff.
  • Maintain and organize office files, records, and correspondence efficiently.
  • Assist in the preparation of reports, presentations, and data spreadsheets.
  • Handle incoming phone calls, emails, and other communications promptly.
  • Support team members with administrative tasks and project management activities.
  • Procure office supplies and handle inventory management for the department.
  • Assist in the planning and coordination of company events and functions.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Prepare and distribute meeting agendas, notes, and follow-up action items.
  • Facilitate communication between different departments and external parties.
  • Provide general administrative support to executives and senior management.
  • Manage and update digital and physical filing systems effectively.

Requirements

  • High school diploma or equivalent; completion of business administration coursework preferred.
  • Minimum of two years' experience in an administrative or clerical role.
  • Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Excellent verbal and written communication skills with attention to detail.
  • Strong organizational skills with the ability to multitask effectively.
  • Demonstrated ability to maintain confidentiality and handle sensitive information.
  • Experience with scheduling software or system management tools is a plus.
