The Administrative Assistant 23D25 plays a pivotal role in ensuring the efficient operation of the office. Responsibilities

  • Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Coordinate office activities and operations to ensure efficiency and compliance with company policies.
  • Handle incoming and outgoing communication, including emails, phone calls, and mail.
  • Act as a liaison between departments to relay crucial information timely and accurately.
  • Organize and maintain files, databases, and records, both electronic and manual systems.
  • Assist in preparing reports and presentations for management and team meetings.
  • Monitor and manage office supplies inventory, placing orders as necessary within budget constraints.
  • Provide administrative support for special projects and tasks as directed by management.
  • Coordinate and schedule meetings, including preparing agendas, site arrangements, and taking minutes.
  • Support the on-boarding process for new employees, including preparing workspaces and equipment.
  • Ensure that confidentiality and sensitivity guidelines are always adhered to in all administrative functions.

Requirements

  • Proven experience as an administrative assistant, office assistant, or a relevant role.
  • Exceptional organizational skills with meticulous attention to detail and accuracy.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office equipment.
  • Strong verbal and written communication skills with a professional demeanor.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Excellent time management skills and the ability to prioritize tasks efficiently.
  • High school diploma or equivalent; additional qualifications as an administrative assistant are a plus.
