The Administrative Assistant 22D25 role is vital for ensuring smooth and efficient operations within the office environment. This position requires a dynamic individual capable of managing a variety of tasks such as scheduling, communication, record-keeping, and providing essential support to office staff and management. You will be the backbone of organizational functions, contributing to productivity and fostering a positive work environment. Your excellent communication, organization, and interpersonal skills will be crucial in liaising with staff and external partners. In this role, you will have the opportunity to manage administrative projects and ensure that all office procedures run seamlessly, allowing the rest of the team to focus on their specific agendas and workloads.


Responsibilities

  • Coordinate and schedule meetings, appointments, and conference calls efficiently.
  • Maintain an organized filing system for both digital and paper documents.
  • Provide administrative support to ensure efficient operation of the office.
  • Assist in the preparation of regularly scheduled reports and summaries.
  • Develop and maintain a tracking system for office supplies and inventory needs.
  • Answer and direct phone calls to appropriate parties promptly and appropriately.
  • Organize and schedule travel arrangements for staff and executive management.
  • Facilitate communication within different departments to ensure seamless collaboration.
  • Manage the office calendar and assist in the coordination of office events.
  • Conduct research and compile data to prepare papers for consideration and presentation.
  • Handle sensitive information with the utmost integrity and confidentiality.
  • Respond to requests for information and data, ensuring accurate responses are provided.

Requirements

  • Proven experience as an administrative assistant or office admin assistant.
  • Excellent time management skills and ability to prioritize work effectively.
  • Strong organizational skills with the ability to multi-task various projects.
  • Proficiency in MS Office Suite such as Word, Excel, and PowerPoint.
  • Excellent written and verbal communication skills for effective interaction.
  • Attention to detail and strong problem-solving skills are highly valued.
  • High school diploma required; additional qualifications as an administration assistant is a plus.
