Job Description

An Administrative Assistant plays a crucial role in the smooth and efficient operation of an organization by providing support to managers, staff, and clients. This role requires a detail-oriented individual who can effectively manage their time and work on various administrative tasks to ensure everything runs smoothly. As an Administrative Assistant, you will be responsible for handling office communications, scheduling, and documentation, while also assisting with special projects and handling inquiries in a professional manner. This position is ideal for someone with strong organizational skills and a knack for multitasking, as you will often be the point of contact for both internal and external parties. Strong communication and interpersonal skills are also essential to liaise effectively with different levels of staff and maintain a friendly and professional workplace environment.


Responsibilities

  • Coordinate and manage daily calendars and schedules for staff and management.
  • Answer and direct phone calls to relevant staff in a courteous manner.
  • Organize and maintain electronic and physical files for easy retrieval.
  • Assist in the preparation and proofreading of reports and presentations.
  • Handle incoming and outgoing correspondence and emails efficiently.
  • Manage office supplies and order inventory as needed to ensure availability.
  • Provide administrative support for meetings, including agenda preparation.
  • Coordinate travel arrangements and itineraries for staff and executives.
  • Greet and assist visitors and ensure they feel welcomed and attended to.
  • Develop and maintain a filing system that is both efficient and secure.
  • Assist in the tracking of staff expenses and process invoices for payment.
  • Support team members with various administrative tasks to enhance productivity.

Requirements

  • Proven experience as an administrative assistant or in a related role.
  • Proficiency in MS Office Suite, including Word, Excel, and PowerPoint.
  • Excellent written and verbal communication skills are essential.
  • Strong organizational and time-management abilities with attention to detail.
  • Ability to multitask and prioritize tasks independently and efficiently.
  • High level of professionalism and confidentiality in all interactions.
  • Familiarity with office management systems and basic accounting principles.
