Job Description

As an Administrative Assistant, you will play a crucial role in supporting the efficiency and effectiveness of our organization. Your primary responsibilities will include managing communications, organizing files, and scheduling meetings, ensuring that office operations run smoothly. You will serve as a key point of contact for both internal and external communications, requiring you to handle inquiries and correspondences with professionalism and discretion. This position is ideal for someone who is detail-oriented, highly organized, and possesses excellent communication skills. By assisting with a variety of administrative and clerical tasks, you will contribute to the overall productivity and success of our team.


Responsibilities

  • Manage and organize office documents, files, and records for efficiency.
  • Schedule, coordinate, and prepare meetings, appointments, and travel arrangements.
  • Answer and direct phone calls to appropriate departments or personnel.
  • Assist in the preparation and distribution of reports and presentations.
  • Monitor and order office supplies to ensure adequate inventory levels.
  • Manage incoming and outgoing correspondence, including emails and mail.
  • Provide administrative support to senior management and other staff members.
  • Conduct research and compile data to support projects and reports.
  • Greet and assist visitors and clients, ensuring a positive experience.
  • Coordinate and maintain the company calendar, including key events and deadlines.
  • Handle confidential information with discretion and maintain data security.
  • Facilitate communication within the office to promote efficient operations.

Requirements

  • High school diploma or equivalent; further education is a plus.
  • Proven experience as an administrative assistant or office assistant.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent verbal and written communication skills are essential.
  • Must be highly organized with exceptional attention to detail skills.
  • Ability to manage multiple tasks and priorities effectively under pressure.
  • Demonstrated ability to maintain confidentiality and handle sensitive information.
