An Administrative Assistant plays a crucial role in ensuring the smooth and efficient operation of an office or department. This position is integral in supporting upper management, staff, and clients by managing various administrative tasks. Responsibilities

  • Manage and maintain executives' schedules, including appointments and meetings.
  • Coordinate and organize meetings, conferences, and travel arrangements.
  • Prepare and edit correspondence, reports, and presentations accurately.
  • Handle incoming calls and correspondence with professionalism and courtesy.
  • Organize and maintain electronic and paper filing systems to ensure accessibility.
  • Assist in budget tracking and maintaining financial records when required.
  • Support the planning and execution of company events and projects.
  • Order and manage office supplies to ensure efficient office operations.
  • Liaise with internal departments and external partners effectively and diplomatically.
  • Provide general administrative support across various teams as needed.
  • Maintain confidentiality and safeguard sensitive information at all times.
  • Assist in the onboarding process by preparing documents and arranging new employee setup.

Requirements

  • Proven experience as an administrative assistant or similar role for two years.
  • Proficient in Microsoft Office Suite, particularly Word, Excel, and PowerPoint.
  • Excellent organizational and time management skills with attention to detail.
  • Strong verbal and written communication abilities are essential.
  • Ability to multitask and prioritize tasks efficiently in a fast-paced environment.
  • High school diploma or equivalent; additional qualifications as an administrative assistant are a plus.
  • Demonstrated ability to maintain confidentiality and handle sensitive information discreetly.
  • Customer service orientation with the capacity to handle inquiries with tact and professionalism.
