An Administrative Assistant plays a crucial role in supporting the efficient operations of a business by providing administrative and clerical services. Responsibilities

  • Provide comprehensive administrative support to senior executives and managers regularly.
  • Manage and organize schedules, appointments, and travel arrangements efficiently.
  • Prepare and edit documents, reports, and presentations with high accuracy.
  • Coordinate and maintain records for staff, telephones, and office keys responsibly.
  • Assist in planning and organizing meetings, including room bookings and refreshments.
  • Answer, screen, and forward incoming calls with professionalism and courtesy.
  • Handle incoming and outgoing correspondence, including emails and mail, with confidentiality.
  • Maintain office supplies inventory by placing and expediting orders as needed.
  • Operate office equipment such as photocopiers, printers, and fax machines correctly.
  • Contribute to the development and implementation of new administrative systems effectively.
  • Support staff in project-based work, assisting in research and data collection.
  • Ensure operation of equipment by completing preventive maintenance requirements regularly.

Requirements

  • Proven experience as an administrative assistant or in a relevant role.
  • Excellent time management skills and ability to prioritize tasks efficiently.
  • Strong attention to detail with problem-solving skills mandatory for the role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) required.
  • Strong organizational skills with the ability to multi-task effectively.
  • Excellent written and verbal communication skills are essential.
  • High school diploma; additional qualifications as an Administrative Assistant are a plus.
