Job Description

As an Administrative Assistant, you will play a crucial role in ensuring the smooth and efficient operation of our organization. You will be responsible for managing and distributing information within the office and perform various clerical tasks that facilitate our daily operations. Responsibilities

  • Manage and organize daily schedules, appointments, and meetings for senior management.
  • Coordinate office tasks and functions to ensure office operations run smoothly.
  • Prepare and distribute correspondence such as emails, letters, and memos.
  • Maintain accurate records and enter data into databases as required.
  • Answer and direct phone calls in a courteous and efficient manner.
  • Assist in preparing presentations and compiling reports for meetings and projects.
  • Greet and assist visitors, ensuring a pleasant and professional experience.
  • Manage and order office supplies, ensuring sufficient inventory levels.
  • Coordinate travel arrangements and accommodations for staff as needed.
  • Provide support with general office maintenance and facility management tasks.
  • Organize and maintain filing systems, both electronic and physical, for easy access.
  • Support special projects and perform additional duties as assigned by management.

Requirements

  • Proven experience as an Administrative Assistant or similar role in an office setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is required.
  • Strong organizational skills with ability to prioritize multiple tasks efficiently.
  • Excellent written and verbal communication skills for effective interaction.
  • High level of discretion in handling confidential and sensitive information.
  • Ability to work independently and as part of a team to meet deadlines.
  • Strong attention to detail and problem-solving skills are necessary.
