Job Description

We are seeking a dynamic and highly organized Administrative Assistant to join our team. As an instrumental member of our administrative staff, the Administrative Assistant will provide critical support to ensure the efficient operation of our office. This role requires someone with strong multitasking capabilities, attention to detail, and excellent communication skills. The ideal candidate will be proactive in managing schedules, handling correspondence, and assisting with various administrative tasks. Responsibilities

  • Schedule and coordinate meetings, appointments, and travel arrangements for multiple supervisors.
  • Prepare and edit documents, reports, and presentations for internal and external use.
  • Handle incoming calls and correspondence, responding effectively to emails and inquiries.
  • Maintain and update contact lists, ensuring all information is current and accurate.
  • Organize and maintain the office filing system to ensure ease of document retrieval.
  • Support department managers and executives with daily administrative tasks as needed.
  • Assist in the preparation of regularly scheduled reports for various departments.
  • Manage and oversee office supplies inventory, ensuring all essentials are stocked.
  • Coordinate with IT department for technology assistance and troubleshooting needs.
  • Conduct data entry and ensure accuracy and integrity of company records and databases.
  • Organize team events, including liaising with vendors and managing logistics.
  • Provide exceptional customer service to internal and external clients and partners.

Requirements

  • Proven experience as an Administrative Assistant or relevant role for at least two years.
  • Proficient in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Excellent written and verbal communication skills, with strong attention to detail.
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Strong organizational skills with the capability to multitask and adapt to change.
  • Familiarity with office equipment, such as printers and fax machines, is necessary.
  • A high school diploma is required; an associate’s degree or higher is preferred.
