Responsibilities

  • Provide administrative support to ensure efficient office operations are maintained.
  • Coordinate meetings, including scheduling, sending reminders, and organizing catering services.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Answer and direct phone calls, taking messages when necessary and providing information as required.
  • Organize and maintain electronic and paper files to ensure easy retrieval and reference.
  • Assist in the preparation of regularly scheduled reports and distribute them appropriately.
  • Manage inventory of office supplies and place orders when necessary to maintain stock levels.
  • Provide general support to visitors and handle inquiries, ensuring a welcoming environment.
  • Develop and maintain a filing system to streamline administrative processes and maintain records.
  • Handle sensitive information in a confidential manner, ensuring data privacy and protection.
  • Support the organization of company events and team-building activities as required.
  • Collaborate with other team members to ensure that projects are completed on time and within budget.

Requirements

  • Proven experience as an administrative assistant or in a similar role.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential.
  • Excellent written and verbal communication skills for clear and effective information sharing.
  • High school diploma required, associate degree or higher preferred.
  • Ability to work independently while embracing a team-oriented environment when necessary.
  • Attention to detail and problem-solving skills ensuring high accuracy and efficiency.
