Job Description

The Administration Executive serves as a crucial backbone to the efficient operation of the organization, providing essential support to ensure that all administrative tasks and processes run smoothly and effectively. This role is responsible for managing a wide range of administrative and clerical tasks, helping to foster a productive and cohesive work environment. The Administration Executive is expected to coordinate office processes, manage communication, and assist in the logistical aspects of the business. A successful candidate will possess excellent organizational skills, a keen eye for detail, and the ability to manage time effectively while dealing with multiple priorities. This role requires discretion, problem-solving capabilities, and the ability to engage professionally with both internal staff and external partners.


Responsibilities

  • Manage and organize all administrative activities to ensure office efficiency.
  • Coordinate and oversee meetings, including schedules, minutes, and necessary preparations.
  • Maintain physical and digital filing systems for easy access and organization of documents.
  • Handle office correspondence, including managing emails, phone calls, and postal mail efficiently.
  • Assist in the planning and execution of company events and logistics arrangements.
  • Monitor office supplies and place orders to ensure adequate inventory for daily operations.
  • Prepare reports, presentations, and other documents as required by management.
  • Support human resources functions, including training logistics and employee onboarding processes.
  • Coordinate travel arrangements, including booking flights, accommodations, and transportation for staff.
  • Implement and maintain company policies and procedures to streamline office functions.
  • Contribute to budget planning by keeping track of office expenses and suggesting cost-effective measures.
  • Facilitate communication between departments to ensure alignment and operational efficiency.

Requirements

  • Bachelor’s degree in Business Administration or related field preferred.
  • Proven experience in an administrative role within a corporate or professional setting.
  • Strong proficiency in office software, including word processing and spreadsheet applications.
  • Exceptional organizational and multitasking skills to handle multiple priorities effectively.
  • Excellent written and verbal communication skills for professional interaction.
  • Ability to work independently, demonstrating initiative and resourcefulness in problem-solving.
  • High level of discretion and confidentiality with sensitive information and communications.
