Job Description

The Administration/Documentation Executive plays a crucial role in ensuring smooth and efficient operations within an organization. This position is responsible for managing and organizing important documents, coordinating with different departments, and supporting the overall administrative workflow. As an Administration/Documentation Executive, you will be actively involved in the creation, updating, and management of documentation systems to ensure all necessary records are accurately maintained and easily accessible. Your excellent organizational skills, attention to detail, and proficiency in office software applications will be essential in maintaining high standards of documentation and administration. The successful candidate will work directly under the office manager and assist with various tasks that contribute to the department’s operations, thereby supporting the entire organization in achieving its strategic goals.


Responsibilities

  • Maintain and organize both digital and physical company records systematically.
  • Assist in the documentation process, ensuring accuracy and compliance with regulations.
  • Coordinate with different departments to ensure timely submission of required documents.
  • Develop and update documentation templates for company-wide usage as needed.
  • Prepare reports and presentations based on data extracted from documentation sources.
  • Manage calendars, schedule meetings, and arrange travel plans for the executive team.
  • Serve as a point of contact for internal and external communication regarding administrative issues.
  • Monitor and procure office supplies, ensuring appropriate inventory levels are maintained.
  • Supervise and train junior office staff to ensure proper administrative support is provided.
  • Maintain confidentiality and secure sensitive information related to company operations.
  • Resolve administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.
  • Provide general administrative support to senior management and other assigned duties.

Requirements

  • Bachelor’s degree in Business Administration, Management, or a related field preferred.
  • At least 2 years of experience in an administrative or documentation role.
  • Proficient in Microsoft Office and document management software.
  • Excellent organizational skills and attention to detail are essential.
  • Strong communication skills, both verbal and written, are required.
  • Ability to handle multiple tasks simultaneously and meet tight deadlines.
  • Basic arithmetic and numerical skills with the ability to perform routine calculations accurately
  • Must have the ability to work independently and within a team environment.
