Job Description

An Admin Supervisor plays a pivotal role in ensuring the smooth and efficient functioning of the administrative operations within an organization. This crucial position requires an individual who can lead and manage a team of administrative professionals, ensuring that all administrative tasks are completed accurately and on time. The Admin Supervisor must be adept at multitasking, with strong organizational skills and the ability to handle pressure while maintaining a positive attitude. They will work closely with other departments to ensure that all administrative needs are met and help establish policies and procedures to streamline operations. This role is ideal for someone who is proactive, detail-oriented, and possesses excellent communication skills, both written and verbal. The ideal candidate will also have experience in team leadership and a deep understanding of administrative processes and protocols.


Responsibilities

  • Oversee daily administrative operations to ensure efficiency and productivity in the office.
  • Manage and support a team of administrative assistants in their daily activities.
  • Coordinate with different departments to ensure seamless administrative processes and communications.
  • Develop and implement policies and procedures to improve administrative functions.
  • Track and oversee office supplies inventory and place orders when necessary.
  • Review, update, and maintain office records and databases accurately and efficiently.
  • Handle internal and external communications, such as emails, phone calls, and correspondence.
  • Schedule and organize meetings, appointments, and travel arrangements for senior managers.
  • Produce and distribute correspondence memos, letters, faxes, and forms as needed.
  • Assist in the preparation of regularly scheduled reports and presentations for management.
  • Ensure adherence to company policies and industry regulations within the administrative workflow.
  • Provide training, guidance, and performance evaluations to administrative staff members.

Requirements

  • Bachelor’s degree in Business Administration or a related field preferred.
  • Proven experience as an Administrative Supervisor or in a similar administrative position.
  • Strong leadership skills with the ability to effectively manage a team.
  • Excellent organizational and multitasking skills to handle various tasks simultaneously.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Exceptional communication skills, both written and oral, with attention to detail.
  • Ability to work independently and make informed decisions under pressure.
