Job Description

An Admin Officer plays a pivotal role in ensuring the seamless operation of administrative processes within an organization. This position involves an array of tasks ranging from organizing files and managing schedules to coordinating meetings and handling inquiries. The Admin Officer is often the first point of contact for staff, clients, and visitors, aiding in creating a welcoming and productive environment. With a keen eye for detail and excellent communication skills, the Admin Officer helps maintain order and efficiency, adapting to various challenges and multitasking priorities. This role requires both independent initiative and the ability to work collaboratively within a team to support the organization’s goals and objectives effectively.


Responsibilities

  • Manage office supplies inventory and place orders for replenishment as needed.
  • Coordinate and schedule meetings, conferences, and other organizational events.
  • Maintain a clean and organized workplace, ensuring proper functionality of facilities.
  • Handle incoming and outgoing correspondence, calls, emails, and inquiries deftly.
  • Assist in preparing reports and presentations with comprehensive accuracy and detail.
  • Support human resources functions, including recruitment, onboarding, and record-keeping.
  • Ensure compliance with company policies and governmental regulations.
  • Collaborate with other departments for project execution and organizational improvements.
  • Develop and implement administrative systems to enhance office efficiency.
  • Train, supervise, and motivate junior clerical staff and administrative assistants.
  • Prepare meeting agendas, take minutes, and distribute them in a timely manner.
  • Manage relationships with vendors, service providers, and building management.

Requirements

  • Bachelor's degree in Business Administration, Management, or a related field.
  • Proven experience in an administrative or office management role is desirable.
  • Excellent communication, organizational, and multitasking skills are essential.
  • Proficiency in Microsoft Office Suite and other office management software required.
  • Ability to maintain confidentiality and exercise discretion with sensitive information.
  • Strong problem-solving skills and the capacity to work under pressure are necessary.
  • Must possess strong interpersonal skills to interact with different personality types.
