Administrative Assistant

Position Summary

The Administrative Assistant provides high-level organizational and operational support to senior leadership, ensuring seamless coordination of daily activities, communication, and administrative functions. This role is critical in maintaining efficiency, professionalism, and confidentiality within a fast-paced global business environment.


Key Responsibilities

1. Executive & Administrative Support

  • Manage executive calendars, appointments, and scheduling
  • Prepare reports, presentations, and official documents
  • Handle email correspondence and professional communication
  • Coordinate travel arrangements, meetings, and logistics

2. Office & Operations Management

  • Maintain organized filing systems (digital & physical)
  • Ensure smooth day-to-day office operations
  • Monitor office supplies, vendors, and facilities

3. Communication & Coordination

  • Act as liaison between executives and internal/external stakeholders
  • Coordinate with partners, clients, and government entities
  • Manage calls, inquiries, and visitor reception professionally

4. Documentation & Reporting

  • Record meeting minutes and track action points
  • Maintain confidential records and sensitive data
  • Support preparation of contracts, proposals, and business documents

5. Event & Project Support

  • Assist in organizing meetings, corporate events, and summits (e.g., OBS)
  • Support coordination of ongoing projects and timelines
  • Follow up on tasks and ensure timely execution

Qualifications & Requirements

  • Bachelor’s degree in Business Administration or related field (preferred)
  • 2–5 years of administrative or executive support experience
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Excellent organizational and multitasking abilities
