Job Description

The role of an Admin Assistant / Receptionist is pivotal in ensuring that the office environment operates efficiently and smoothly. This position serves as the first point of contact for visitors and callers, projecting the company's brand and professionalism. An Admin Assistant / Receptionist is responsible for various administrative tasks, such as managing calendars, handling correspondence, and coordinating meetings, while maintaining a welcoming and organized reception area. This role requires excellent communication skills, the ability to multitask, and attention to detail, as it supports other departments and facilitates seamless daily operations. An ideal candidate possesses strong organizational skills, a proactive attitude, and the ability to handle confidential information with discretion.


Responsibilities

  • Provide a warm and professional greeting to all visitors upon arrival.
  • Answer and direct incoming phone calls to appropriate personnel promptly.
  • Manage daily scheduling of meetings, conference calls, and appointments.
  • Organize and maintain electronic and physical files and records accurately.
  • Ensure the reception area is tidy and presentable, with all necessary supplies.
  • Coordinate mail distribution and courier services for timely delivery.
  • Assist in preparing and editing correspondence, reports, and presentations.
  • Support the coordination of office events, meetings, and conference logistics.
  • Order office supplies and maintain a record of supplies inventory regularly.
  • Assist other departments with administrative tasks and project coordination.
  • Maintain confidentiality of sensitive information and uphold company policies.
  • Provide administrative support to senior management and team members as needed.

Requirements

  • High school diploma or equivalent; further education is a plus.
  • Proven experience as a receptionist, administrative assistant, or similar role.
  • Excellent verbal and written communication skills are essential.
  • Proficiency in Microsoft Office Suite and familiarity with office technology.
  • Strong organizational skills with the ability to multitask effectively.
  • Capacity to handle sensitive information with confidentiality and professionalism.
  • Ability to maintain a positive attitude and provide exceptional customer service.
