Job Description

We are seeking an organized and personable Admin Assistant / Receptionist to join our team. As the first point of contact for our company, you will be responsible for managing front desk operations and providing administrative support to various departments. You will play a pivotal role in ensuring smooth communication and administrative operations across the organization. This role requires exceptional organizational skills, attention to detail, and a friendly demeanor to interact effectively with clients, vendors, and staff. Responsibilities

  • Greet all visitors in a professional and friendly manner and direct them accordingly.
  • Answer incoming phone calls and redirect them or keep messages when necessary.
  • Manage correspondence, including emails and postal mail, with precision and confidentiality.
  • Coordinate meeting arrangements, prepare agendas, and take meeting minutes as required.
  • Perform general office duties, such as ordering supplies and maintaining inventory.
  • Maintain a tidy and organized reception area, ensuring it presents a professional image.
  • Assist with organizing company events and workshops including logistics and scheduling.
  • Update spreadsheets, databases, and other electronic forms of data storage using software tools.
  • Conduct data entry and maintain accurate records and files for easy retrieval.
  • Provide administrative support to human resources in onboarding and other clerical tasks.
  • Schedule and coordinate travel arrangements for staff and executives as needed.
  • Collaborate with various departments to support company projects and initiatives.

Requirements

  • High school diploma or equivalent is required; additional qualifications a plus.
  • Previous experience in an administrative or receptionist role is highly advantageous.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Strong organizational skills with the ability to manage multiple tasks efficiently.
  • Excellent verbal and written communication skills are essential for interaction.
  • Exceptional interpersonal skills and a friendly, welcoming personality are needed.
  • Ability to maintain discretion and handle confidential information appropriately.
