Responsibilities

  • Assist in the preparation of invoices, purchase orders, and other financial documents.
  • Manage and organize the office’s files, records, and correspondence efficiently.
  • Perform data entry tasks to maintain accurate records in the accounting system.
  • Support the accounts department by reconciling bank statements and transactions.
  • Schedule meetings, appointments, and manage calendars for executives and managers.
  • Handle incoming phone calls and direct them to the appropriate departments.
  • Assist in handling payroll by maintaining employee records and processing payments.
  • Provide administrative support to different departments when necessary.
  • Coordinate travel arrangements and prepare itineraries for company employees.
  • Assist in the preparation of financial reports for management’s review and decision-making.
  • Ensure compliance with company policies and assist in implementing new procedures.
  • Order office supplies and manage inventory to ensure a well-stocked office.

Requirements

  • Bachelor’s degree in Business Administration, Accounting, or a related field.
  • Proven experience as an administrative assistant, accountant, or similar role.
  • Proficiency in MS Office and familiarity with accounting software like QuickBooks.
  • Excellent organizational, time management, and multitasking skills are required.
  • Strong attention to detail and problem-solving skills are essential for this role.
  • Effective communication skills, both written and verbal, are mandatory.
  • Ability to handle confidential information with integrity and professionalism.
