Job Description

As an Administrative Assistant, you will play a critical role in our organization by supporting our executive team and ensuring the office operates smoothly. We seek a proactive professional with excellent communication and organizational skills. You will be responsible for managing schedules, arranging meetings, carrying out various administrative tasks, and acting as a point of contact between executives, employees, clients, and external partners. Your ability to multitask, adapt to rapidly changing priorities, and maintain confidentiality will be pivotal in helping our team function efficiently and effectively. The successful candidate will have a keen eye for detail and a passion for providing exceptional administrative support in a dynamic work environment.


Responsibilities

  • Manage and coordinate executives' calendars, scheduling appointments and meetings efficiently.
  • Prepare and edit correspondence, reports, and presentations for executives as needed.
  • Organize and maintain office files and records, ensuring accurate documentation.
  • Act as a liaison between executives and clients, providing a bridge for smooth communication.
  • Coordinate travel arrangements, including booking flights, accommodations, and transportation.
  • Assist in the preparation and execution of company meetings, events, and conferences.
  • Handle confidential information with discretion and in accordance with company policies.
  • Monitor and maintain office supplies inventory, ordering necessary items within budget constraints.
  • Answer and direct incoming calls, responding to inquiries courteously and promptly.
  • Support the HR department with recruitment activities and onboarding processes when required.
  • Update databases and maintain accurate employee and client contact information.
  • Perform general office errands, including collecting and distributing mail and packages.

Requirements

  • Bachelor's degree in business administration or a related field preferred.
  • Minimum of 2-3 years of administrative assistant experience in a corporate setting.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Excellent communication skills, both written and verbal, with attention to detail.
  • Ability to work independently and collaboratively with various stakeholders in the organization.
  • Experience handling confidential information with integrity and professionalism.
