Job Description

An Administrative Assistant plays a crucial role in maintaining efficient office operations by providing support to managers, staff, and departments. Responsibilities

  • Manage and organize daily activities of the office to ensure smooth operations.
  • Coordinate and schedule meetings, appointments, and travel arrangements as needed.
  • Prepare and edit correspondence, reports, and presentations with a high degree of accuracy.
  • Provide administrative support to senior managers and other staff members.
  • Maintain and update office filing systems both electronically and on paper.
  • Answer and direct phone calls, as well as respond to emails promptly.
  • Assist with budgeting and financial tasks, including invoices and expense reports.
  • Order office supplies and maintain inventory to prevent shortages.
  • Ensure confidentiality of sensitive information and handle data entry tasks accurately.
  • Greet and assist visitors to the office, providing a welcoming environment.
  • Organize and maintain a clean and functional office space.
  • Support team with special projects and events, contributing creative ideas.

Requirements

  • High school diploma or equivalent; associate degree is preferred.
  • At least 2 years of experience in an administrative or office assistant role.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Excellent organizational and multitasking abilities in a fast-paced environment.
  • Strong written and verbal communication skills with attention to detail.
  • Ability to handle confidential information with integrity and discretion.
  • Customer service-oriented mindset and comfortable interacting with diverse people.
