Job Description

As an Administrative Assistant, you will play a critical role in ensuring the smooth operation of our office. This position requires a proactive individual with excellent organizational skills, attention to detail, and the ability to multitask efficiently. You will be responsible for handling a variety of administrative and clerical tasks that contribute to our overall productivity. From scheduling appointments and managing communications to maintaining files and preparing documents, your work will be crucial to the seamless functioning of our team. Your contributions will support our leadership and enable our staff to focus on their core responsibilities, making you an essential part of our workflow.


Responsibilities

  • Coordinate office activities and operations to ensure efficiency in tasks.
  • Schedule and organize meetings, appointments, and conference calls for staff.
  • Manage incoming and outgoing communications, including emails and phone calls.
  • Maintain and update company files, both electronic and paper records.
  • Prepare and distribute correspondence, memos, and forms as needed.
  • Assist with the preparation of meeting agendas, minutes, and presentations.
  • Support in arranging travel plans and accommodations for company personnel.
  • Track and order office supplies to ensure office supplies are always stocked.
  • Collaborate with other departments to ensure administrative tasks are completed.
  • Provide administrative support to senior management and other team members.
  • Handle sensitive information in a confidential and discreet manner.
  • Assist in the onboarding process for new hires, including paperwork.

Requirements

  • Proven experience as an Administrative Assistant or relevant role.
  • Strong organizational and time-management skills are essential for this role.
  • Excellent written and verbal communication skills are a must-have.
  • Proficiency in MS Office, including Word, Excel, and PowerPoint required.
  • Ability to multitask and prioritize tasks effectively and efficiently.
  • High school diploma; additional qualifications in office management are a plus.
  • Strong attention to detail with the ability to maintain confidentiality.
