Job Description

As an Admin Assistant in a dynamic and fast-paced environment, your role is vital to the efficient operation of our organization. You will support various managerial and executive teams by managing many of the administrative tasks that keep the business productive. You will handle communications, coordinate meetings and appointments, prepare reports and presentations, and ensure that office operations run smoothly. You will be involved in managing travel arrangements and maintaining office supplies, contributing to the overall employee experience. To thrive in this role, you should be exceptionally organized, possess great multitasking abilities, and maintain a professional demeanor. Responsibilities

  • Manage and distribute information within the office to ensure efficient operations.
  • Coordinate meetings and appointments for managers and executives as required.
  • Prepare reports, presentations, and data as directed by executive staff.
  • Manage travel arrangements including booking flights, accommodations, and itineraries.
  • Assist with research and planning as necessary for various projects and initiatives.
  • Handle incoming phone calls and emails, directing to relevant departments if needed.
  • Maintain and order supplies to ensure efficient operations and avoid stockouts.
  • Support human resources tasks including scheduling interviews and onboarding new staff.
  • Assist with the organization and coordination of company events and meetings.
  • Keep the office environment organized and tidy to promote a productive atmosphere.
  • Update and maintain office policies and procedures when needed or directed.
  • Perform other clerical duties such as filing, photocopying, and managing correspondence.

Requirements

  • Proven experience as an Administrative Assistant or similar role is required.
  • Strong proficiency in Microsoft Office Suite, particularly Word, Excel, and PowerPoint.
  • Excellent organizational and multitasking skills with attention to detail.
  • Strong communication skills, both verbal and written, are essential.
  • Ability to maintain confidentiality and discretion when handling sensitive information.
  • Proficiency in using office equipment such as printers and fax machines.
  • Capability to thrive in a fast-paced environment with minimal supervision.
  • Familiarity with office management procedures and basic accounting principles.
  • Bachelor’s degree in business administration or related field is preferred.
