Job Description

The Admin Assistant 07J26 is essential for providing comprehensive administrative support within our organization. This role is crucial for maintaining the smooth operation of our office by assisting with a variety of tasks, from managing schedules and communications to supporting logistics and data management. The ideal candidate will be a highly organized and detail-oriented individual with excellent communication skills and a proactive approach to problem-solving. They will be responsible for managing office supplies, coordinating meetings, and ensuring that day-to-day activities run efficiently. Responsibilities

  • Manage daily schedules and appointments for senior staff and executives.
  • Organize meetings, conferences, and travel arrangements as required.
  • Handle incoming phone calls and respond professionally to inquiries.
  • Prepare, edit, and format documents, presentations, and reports.
  • Maintain and organize both digital and physical filing systems efficiently.
  • Assist with the preparation and processing of invoices and expense reports.
  • Coordinate with vendors for office supplies and ensure timely procurement.
  • Help in planning and executing company events and outreach activities.
  • Provide administrative support for project management efforts as needed.
  • Ensure compliance with company policies and procedures in all administrative tasks.
  • Act as the point of contact for office maintenance and repair issues.
  • Contribute to the improvement of office procedures and processes.

Requirements

  • Proven experience as an Administrative Assistant or similar role in an office setting.
  • Strong organizational and time management skills are essential.
  • Excellent verbal and written communication abilities in English.
  • Proficiency in Microsoft Office Suite and basic office equipment.
  • Ability to manage multiple tasks and prioritize workload effectively.
  • High level of discretion and professionalism when handling sensitive information.
  • Strong problem-solving skills and the ability to work independently.
