Role Function


As the Planning Coordinator you will assist our Operations delivery team, providing support for the department and maintain regular contact with suppliers.


The role is hybrid based in Amsterdam, but will also include travel to major cities throughout Europe.

Main Duties of the Planning Coordinator:


  • Check Exhibitor stand diagrams that accompany their orders and where necessary feedback information to the service centre so they can communicate back to the exhibitor.
  • Assist with creating show overviews.
  • Create project planning schedules covering the periods pre-show, build-up and pull-out.
  • Maintain regular communications with suppliers with regards to show order updates. This should be a daily task in the weeks before build up.
  • Update show overviews with shell scheme information on a weekly/daily basis.
  • Request supplier quotes for services or products requested by the exhibitors.
  • Answer questions from the Service Centre regarding stand building, mains, electrics, rigging, furniture, etc. and any other support required from Operations.
  • Create a hard copy show folder per service including all the work orders, exhibitor diagrams and schedules of requirements.
  • Create mains electricity location plans to send to the venue technical departments.
  • Prepare, create and print stand reports.
  • Attend site meetings as appropriate which could be at venues throughout Europe


About You:


You will have native or professional proficiency in English, excellent communication skills and keen eye for detail. You will be proficient in the use of Microsoft Office, including Outlook, Word, Excel and PowerPoint. Any other language skills would be an advantage.


You will also have experience in a similar role, ideally in the events industry, and have the ability to work in a fast-paced environment.

Salary


This role offers a competitive salary, dependent on experience. We operate a reward strategy based on our team members receiving a salary that best reflects their experience and skill level.


Hours of work


Normal working hours are Monday to Friday 8.30am – 5pm. On occasion you may be required to work evenings and weekends during busy periods to meet the demands of the business.


Annual leave


Our holiday entitlement is 25 days per annum (plus bank holidays and statutory public holidays).
