Job Description

Your mission:

The Logistics Specialist will manage two core regional logistics functions:

  1. Direct Asia, cross-trade and drop-shipment operations
  2. Spare-parts and service logistics management

The role will ensure end-to-end coordination, visibility, documentation accuracy, compliance and timely delivery across factories, suppliers, warehouses, freight forwarders, customs brokers, distributors and internal stakeholders.

The position will also provide operational backup to the Regional Warehouse Operations Lead and Regional Transport & Customs Lead during leave, peak periods and business disruptions.

Although the official title is Logistics Specialist, this is a high-ownership role suited to an experienced logistics professional who can independently manage complex regional operations.

What you will do:

1. Direct Supply, Cross-Trade and Drop-Shipments

  • Manage Direct Asia and factory-to-customer shipments from cargo readiness through final delivery.
  • Coordinate factories, suppliers, freight forwarders, distributors and internal teams.
  • Manage bookings, loading schedules, shipping instructions, document switching, pre-alerts and shipment tracking.
  • Ensure accurate execution of virtual GR, delivery creation, credit-block follow-up and virtual GI processes.
  • Validate invoices, packing lists, serial-number files, COO, quantities, weights and shipping documents before shipment.
  • Maintain end-to-end visibility of open orders, shipment milestones, ETAs, delays and outstanding actions.
  • Support implementation of new customers, countries, factories, routes and direct-supply models.
  • Manage shipment exceptions, route changes, port disruptions and business-continuity requirements.
  • Monitor freight cost, service performance and operational risks across direct-supply flows.

2. Spare-Parts and Service Logistics

  • Manage end-to-end spare-parts movements from suppliers and factories to warehouses, service centres, distributors or customers.
  • Coordinate regular replenishment, urgent airfreight, courier and machine-down shipments.
  • Work closely with Service, Planning and Customer Support teams to prioritise critical requirements.
  • Monitor open orders, back orders, availability, shipment status and expected delivery dates.
  • Ensure accurate part numbers, quantities, descriptions, COO, weights, values and customs documentation.
  • Coordinate warranty replacements, free-of-charge shipments, defective-part returns and reverse logistics.
  • Support customs-classification and technical-information requirements for spare parts.
  • Control premium-freight costs and identify opportunities for shipment consolidation.
  • Manage lost, damaged, short-delivered and delayed spare-parts claims.
  • Support spare-parts inventory accuracy, cycle counts, obsolete-stock review and scrap processes.

3. Regional Operational Backup

  • Provide backup support for warehouse operations across UAE, Türkiye, RSA and Germany.
  • Support inbound, outbound, inventory, cycle-count, reconciliation and warehouse-escalation activities.
  • Provide backup support for regional air, ocean, road, customs and transit operations.
  • Coordinate carriers, freight forwarders, customs brokers and 3PL service providers when required.
  • Support Türkiye T1, cross-border and customs-documentation activities.
  • Ensure business continuity during team leave, peak periods, month-end and operational crises.

4. Governance, Compliance and Reporting

  • Maintain accurate shipment trackers, operational reports and management visibility.
  • Ensure consistency between orders, deliveries, invoices, packing lists and transport documents.
  • Maintain complete audit trails and support JSOX and compliance requirements.
  • Monitor logistics-provider performance, KPIs, delays and corrective actions.
  • Support freight accruals, cost reporting, budgeting and forecasting.
  • Escalate service, cost, compliance and business-continuity risks.
  • Develop SOPs, checklists and mistake-proof controls.
  • Support process-improvement, automation and logistics digitalisation initiatives.
