Job Summary

Own the physical flow of service parts and tools across a multi-country Middle East & Africa operation in the medical devices sector: shipping and freight, third-party logistics (3PL) through warehouse operations, customs and trade compliance, and stock and inventory control. The role is the dedicated logistics specialist within a small, high-volume service operations team and to support order management, procurement and invoicing during peaks and absences.

Key Areas of Responsibility

  • Plan and execute all outbound and inbound service-part shipments (air, sea, road), selecting routing and freight partners for cost and speed.
  • Prepare and control shipping documentation: commercial invoices, packing lists, etc.
  • Fast-track warranty and contract orders and manage last-minute shipment changes through ETD follow-up in ERP.
  • Track shipments end-to-end, issue ASN before arrival, and keep ETD/ETA updated in ERP.
  • Optimize freight spend across carriers, routes and consolidation opportunities.
  • Act as the daily interface with the third-party logistics (3PL) provider: bookings, warehouse instructions, discrepancy resolution and follow-up performance.
  • Monitor 3PL service levels, escalate and remove bottlenecks, and support contract and process improvement initiatives.
  • Manage customs clearance across Middle East & Africa markets, covering country-specific import requirements (conformity assessment programs, LC/forex controls, import permits).
  • Maintain compliant import/export records for medical devices and coordinate with brokers and authorities to prevent clearance delays.
  • Run periodic inventory reconciliation between ERP and the warehouse and post goods receipts (GRN).
  • Reduce back orders, monitor slow-moving stock, and execute approved scrap/destruction with full documentation.
  • Drive damage and loss prevention across storage and transport.
  • Support the order management desk across the full order cycle: order intake and order acknowledgement, requisitions, vendor purchase orders, invoicing, credit notes and payment follow-up.
  • Cover the order desk during peaks, leave and absences, maintaining agreed response standards.
  • Support operations dashboards and periodic performance reporting.

Qualifications & Experience

  • 3–5 years in logistics / supply chain operations, ideally in medical devices, healthcare or another regulated industry.
  • Hands-on experience with freight forwarding, Incoterms, letters of credit and customs clearance in Middle East and/or Africa markets.
  • Working knowledge of ERP systems (order-to-cash and inventory modules) and strong Excel skills; CRM exposure is a plus.
  • Experience managing or working with a 3PL provider is a strong advantage

Competencies

  • Ownership and follow-through — able to run an end-to-end shipment without supervision and close the loop every time.
  • Structured and detail-driven under volume; comfortable with deadline-critical work.
  • Clear communicator in English (Arabic is advantage) across functions, internally and externally with distributors, forwarders and authorities, suppliers and vendors.
  • Flexible team player — willing to step into order management, procurement and invoicing tasks when the business needs it.
  • Continuous-improvement mindset with a track record of practical process improvements
