Job Description

The Travel Desk Executive plays an essential role in ensuring smooth and efficient travel arrangements for employees and clients within an organization. This position requires a professional who is not only knowledgeable about various travel options but also has the capability to manage complex itineraries, negotiate with vendors, and provide outstanding customer service. As a Travel Desk Executive, you will be responsible for coordinating travel details, advising on best travel practices, ensuring cost-effectiveness, and keeping detailed records of all travel-related activities. You will work closely with a team, making sure that all travel arrangements align with the company's policies and requirements, optimizing travel plans within set budgets and time constraints. This position requires a strong degree of flexibility, communication skills, and a deep understanding of travel logistics and technology solutions to ensure a seamless travel experience for all stakeholders.


Responsibilities

  • Coordinate travel arrangements for employees and clients, ensuring efficiency and cost-effectiveness.
  • Research and provide advice on travel destinations, accommodations, and travel insurance.
  • Liaise with travel agencies and suppliers to obtain the best possible travel deals.
  • Manage travel requests and amendments in a timely and accurate manner.
  • Maintain up-to-date knowledge of travel policies, regulations, and restrictions.
  • Develop travel itineraries that meet the needs and preferences of clients and employees.
  • Ensure all travel arrangements are processed according to company policies.
  • Assist travelers with emergency or last-minute changes in their travel plans.
  • Keep detailed records and documentation of all travel and related expenses.
  • Provide 24/7 travel assistance and support to resolve queries or issues.
  • Work with the finance department to ensure all travel expenses are tracked and reconciled.
  • Stay updated on new tools and technologies to improve travel desk operations.

Requirements

  • Bachelor’s degree in travel, hospitality, or a related field preferred.
  • Minimum of two years of experience in a travel-related role is required.
  • Proficiency in travel management software and online booking platforms.
  • Strong organizational and multi-tasking skills to manage multiple requests.
  • Excellent verbal and written communication skills are essential.
  • Ability to work independently and within a team in a fast-paced environment.
  • Flexibility to address travel requests outside regular business hours as necessary.
