Job Description

As a Travel Desk Executive, you will be the frontline representative of our company's travel services. You'll be responsible for ensuring a smooth experience for internal stakeholders and clients when planning, booking, and managing travel arrangements. Reporting to the Travel Desk Manager, your role will involve providing detailed travel itineraries, handling travel-related queries, and managing logistical planning. Your keen attention to detail and exceptional organizational skills will contribute to enhancing our travel service's efficiency and reliability. You should be adaptable, with strong communication skills and the ability to work in a fast-paced environment, ensuring that all travel aspects are seamlessly managed and optimized for cost-effectiveness and client satisfaction.


Responsibilities

  • Coordinate and book domestic and international travel accommodations for employees and clients.
  • Prepare detailed travel itineraries, ensuring all bookings adhere to company policies.
  • Respond promptly to travel-related inquiries and resolve any issues that arise during travel.
  • Maintain updated records of employees' travel preferences and frequent flyer memberships.
  • Negotiate and secure favorable travel arrangements with vendors and airlines.
  • Monitor travel expenses, ensuring they align with the company's budget policies.
  • Provide personalized travel advice and recommendations to enhance travel experiences.
  • Liaise with travel agencies and vendors to ensure seamless travel operations.
  • Keep abreast of travel industry trends to provide knowledgeable service and advice.
  • Ensure timely and accurate communication of travel changes to all stakeholders.
  • Coordinate with the finance department to process travel reimbursements efficiently.
  • Develop emergency travel plans in response to unforeseen situations or disruptions.

Requirements

  • Bachelor's degree in Hospitality, Travel Management, or a related field preferred.
  • Proven experience in a travel or hospitality role for at least two years.
  • Exceptional organizational skills with the ability to manage multiple travel requests.
  • Strong proficiency in booking software and travel management systems.
  • Excellent communication and interpersonal skills to interact with stakeholders.
  • Ability to work independently and under pressure in a fast-paced environment.
  • Knowledge of international and domestic travel regulations and policies.
