Job Description

The Tenant Coordination Manager plays a pivotal role in ensuring the successful integration of new tenants into commercial and retail spaces. This key position requires an organized, communicative, and strategic individual who can manage the coordination of tenant projects from inception to completion. The Tenant Coordination Manager acts as a liaison between property management, tenants, contractors, and architects to facilitate the design and construction process. Their primary focus is to ensure tenant spaces meet the necessary specifications and are delivered on time. The ideal candidate is detail-oriented, capable of managing multiple projects simultaneously, and possesses a good understanding of construction and property management processes. They must also uphold the company image and standards while fostering strong relationships with all parties involved.


Responsibilities

  • Manage and oversee the entire tenant fit-out process, from lease signing to move-in day.
  • Serve as the primary point of contact for new tenants, addressing their inquiries and concerns.
  • Coordinate with architects and contractors to ensure construction specifications meet tenant needs.
  • Review and approve tenant plans and drawings to ensure compliance with property guidelines.
  • Track project milestones and deadlines to ensure on-time delivery of tenant spaces.
  • Maintain regular communication with property management to report on project status and issues.
  • Facilitate meetings and negotiations between tenants and contractors for project success.
  • Ensure compliance with all building codes and regulations during tenant fit-out projects.
  • Develop and manage project budgets, ensuring cost-effective solutions are implemented.
  • Conduct regular site inspections to ensure quality and progress align with expectations.
  • Prepare progress and status reports, highlighting critical issues for management review.
  • Identify and mitigate risks that could potentially impact project timelines or budgets.

Requirements

  • Bachelor’s degree in construction management, architecture, or a related field.
  • At least five years of experience in tenant coordination or property management roles.
  • Proficient knowledge of construction processes and building codes.
  • Strong project management skills with the ability to manage multiple projects.
  • Exceptional communication and interpersonal skills for tenant and contractor interaction.
  • Ability to read and interpret architectural plans and construction drawings.
  • Strong problem-solving abilities and a keen attention to detail.
  • Proficiency in project management software and other relevant IT tools.
