About the role
Were building a best-in-class Talent Acquisition function to support rapid growth across our Product, Technology, Commercial and Corporate teams. The TA Operations Coordinator is the engine behind it. Youll own everything that makes hiring run smoothly, from interview scheduling and offers through to a candidates first day. Youll also own the systems, data and processes that power it.

This role is for someone who is highly systems-savvy, excited by AI and automation, and just as comfortable with candidates and hiring managers as with senior stakeholders. Youll work hand in hand with our TA Leads, taking care of the operational side so they can focus on finding and closing great talent. You love improving how things work, bring others with you through change, and take real pride in delivering an exceptional candidate experience.

Key Responsibilities

TA systems, tools and AI

• Own and govern Greenhouse as our ATS, including configuration, workflows, permissions, data quality and hiring manager adoption.
• Identify, test and roll out AI and automation tools that make hiring faster and smarter, covering scheduling, screening, candidate communication and reporting.
• Manage the integrations between Greenhouse, our HRIS and other TA tools, so data flows accurately from offer to onboarding.
• Be the go-to expert on TA systems for TA Leads and hiring managers, providing training, guidance and troubleshooting.

Interview and offer operations

• Run interview scheduling for the TA team, coordinating diaries with hiring managers and candidates across multiple time zones.
• Manage the offer process, preparing offer letters and contracts and tracking approvals through to signature.
• Keep the recruitment process moving at pace by chasing feedback and removing blockers before they slow hiring down.

Pre-boarding, onboarding and relocation

• Own the end-to-end pre-boarding journey, from offer acceptance to day one.
• Manage background screening with our provider in line with our compliance requirements, including tiered checks, global police clearances and attestation.
• Supporting the coorindation of the visa process, work permits and relocation with our relocation partner and in-house visa team.
• Act as the main point of contact for new joiners, supporting them and their families through relocation and keeping them engaged and excited until they start.
• Make sure HRIS records are set up accurately and new joiners have everything they need on day one.

TA reporting, data and insight

• Build and own our TA reporting and dashboards, covering pipeline, time to hire, source of hire, offer acceptance, quality of hire, candidate experience and cost per hire.
• Produce regular reporting for the TA team, the People leadership team and senior stakeholders that includes clear insight and recommendations.
• Use data to spot bottlenecks and trends, and drive continuous improvement.

Process, governance and compliance

• Design, document and continuously improve TA processes and SOPs so they stay simple, scalable and consistent.
• Make sure our hiring practices comply with UAE labour law, GCGRA requirements, data protection rules and internal policies.
• Maintain accurate, audit-ready records across the recruitment and screening process.
• Partner with Compliance, Legal, Finance and People Operations to keep the process tight and joined up.

Employer brand and candidate marketing

• Support employer brand activity, including the careers site, job advertising, LinkedIn content and candidate communications.
• Manage job postings across channels and track which channels deliver the best results.
• Champion an outstanding, consistent candidate experience at every touchpoint.

Supporting and enabling the TA team

• Act as the operational partner to our TA Leads. Youll manage scheduling, offers, pre-boarding and reporting so they can focus on sourcing, stakeholder management and closing candidates.
• Be the teams go-to expert on process, tools and best practice, keeping ways of working consistent across every hire.
• Spot where the TA Leads are losing time and find smarter ways of working through better process, automation or AI.
• Drive and influence change across the business, helping hiring managers adopt new tools and ways of working.

Skills & Experience

• Proven experience in TA operations, recruitment operations or a similar role in a fast-paced, high-growth environment.
• Excellent written and verbal communication skills are a must. Youll need to be clear, confident and professional with candidates, hiring managers and senior leaders.
• Expert user of at least one ATS. Greenhouse experience is highly desirable.
• Highly tech-savvy and curious about AI, with hands-on experience implementing tools, automation or workflow improvements.
• Strong reporting and data skills, including Excel or Google Sheets and dashboards, and the ability to turn data into insight.
• Experience managing background checks and onboarding, and ideally visas and relocation, in the UAE or GCC.
• Excellent stakeholder management and the confidence to work with candidates, hiring managers and senior leaders.
• A process and governance mindset, with strong attention to detail and an understanding of compliance in a regulated environment.
• A genuine people person who cares about the experience of candidates and new joiners.
• Thrives on change, is comfortable with ambiguity, and can influence others to adopt new ways of working.
• Experience in gaming, technology or another regulated industry is a plus.
