About The Role

As a Contracts Management Specialist for LAHAB, the succesful individual will manage the full contract lifecycle, including contract initiation, review, execution, amendments, renewals, and closure, ensuring compliance with company policies, contractual obligations, and governance requirements. In this role you will coordinate key commercial activities such as invoicing, payment follow-up, collections monitoring, contract administration, and customer account support to maintain effective commercial operations and optimize revenue collection. This includes administering contracts, commercial correspondence, invoices, and related documentation while liaising with internal stakeholders and customers to facilitate timely contract execution, issue resolution, and billing processes. The role supports the planning and execution of Commercial Department business processes, ensuring alignment with organizational objectives and service standards. The specialist will ensure a high level of customer satisfaction and responsiveness. Develop, monitor, and report key performance indicators related to contract fulfillment and departmental performance. Foster cross-functional collaboration to address customer concerns, resolve operational issues, and support continuous business improvement.

Key Responsibilities / Duties

  • Manage and maintain the complete lifecycle of customer contracts including preparation, review, execution, amendments, renewals, extensions, and closure
  • Monitor contract validity, milestones, deliverables, expiration dates, and compliance requirements
  • Ensure all contracts and commercial documents are properly archived and controlled
  • Maintains relationships with clients by providing support, information, and focal point for communication
  • Administrating incoming contracted sales communications (email, fax, courier packages, letters…etc.)
  • Filing and archiving of sales communications, customer records, sales contracts, agreements, and transactional records
  • Develop and maintain databases to track Controlled Documents in ERP(SAP)
  • Following up and reporting collection of credits
  • Support the physical escort of customer representatives through pre-delivery inspections and audits on the shop floor
  • Prepares reports by collecting, analyzing, and summarizing information to support sales decisions
  • Implement business processes related to document control and management
  • Follow standard operating procedures for kick-off contracted sales contract execution within the company including communications with relevant departments/personnel
  • Make sure the issue of document numbers and log the return and destruction of controlled copies is managed
  • Control and upkeep all formal documents and registers; Liaise with internal departments and external clients and suppliers to ensure that documents contain correct and understandable information regards their categorization
  • Resolve complaints and order issues internally
  • Support the analyze customer service feedback for improvements to achieve customer satisfaction targets
  • Oversee product exchanges and returns according contractual situation
  • Support the management on customer service initiatives
  • Support the process of distribution of internal and external correspondence and ensure good relationships with external and internal clients
  • Responsible for maintaining and documentation of classified documents and disposing of classified information as per project requirement
  • Carry out any other task as required by immediate supervisor.

Basic Qualifications, Skills And Experience

  • Degree in Business Administration or Commerce.
  • 5 - 6yrs experience working in a similar Contracts Management role
  • Extensive experience with Contract Administration & Lifecycle from execution to delivery.
  • Ability to maintain proper fulfilment, archiving and control of highly confidential contracts and commercial documentation
  • Udnerstanding of contracts, ensuring they comply with company policies, commercial terms, and customer requirements
  • Experiece using an ERP systems SAP or Oracle
  • Excellent presentation and project Management skills
  • Prepare periodic reports related to contract status, invoicing progress, collections, and commercial performance.
  • Timely reporting of contract status, invoicing, and collections performance
  • Fluent in English and Arabic

  • Experience working within a similar role within the defence industry
