The position reports to Assistant Operations and Sales Manager.

What you will be doing:

  • Attend and board vessels as required and as directed by respective Manager, in accordance with our Standard Operating Procedures and Customer Requirements.
  • Advise on selection of contractors for goods and services provided to principals, including submission of competitive quotations, as required.
  • Ensure compliance with Port Services processes, standards and procedures, including correct use of the operating system (WASP).
  • Ensure proper monitoring of the vessel and attendance to any follow up enquiries.
  • Ensure correct amount of pre-funding are received, or the correct level of authority has approved any deviation, prior to performing the Port Call. Same to be ensured when additional funding required prior vessel’s sailing.
  • Establish and maintain vessel’s files and ensure that all transactional systems are updated real time.
  • Ensure proactive, efficient and timely communication at all times.
  • Monitor and record expenses that arises during vessels’ port call.
  • Ensure Cash-in-Transit (Cash to Master) as per WPS procedure.
  • Proactively follow up, check and review supplier’s invoices.
  • Ensure cost effectively Vessel Operations.
  • Comply with WPS PPE Standard when working in ports/onboard vessels.
  • QHSSE matters in own function – use of TAKE 5 as appropriate.
  • Provide input to improve the operational and cost efficiency of the port call
  • Ensure DA is competitive, dispatched on time and accurately reflect the true port costs.
  • Oversee and monitor all cargo operations, including loading, unloading, transshipment, and storage activities, to ensure compliance with operational plans, safety standards, and contractual requirements.
  • Provide timely and accurate updates to principals, owners, charterers, and all relevant stakeholders regarding the status of cargo operations, potential delays, discrepancies, and any operational issues requiring attention or corrective action. Maintain detailed records, SOFs, and reports to support operational transparency and informed decision‑making.
  • Ensure to comply with company Bill of Lading guidelines whenever switching the BLs.
  • Monitor Revised DA process & Completed FDA Draft status in WASP within 48 hrs of departure.
  • Closing vessel call files timely in liaison with DA Clerk, within 25 days (MAX) of vessel sailing.
  • Ensure all reporting & documentation requirements are correct & executed as per principal’s instructions. Monitoring these communications closely ensuring all relevant data is sent.
  • Continuous monitoring & attendance to ALL incoming emails via the group mailbox and phone calls 24/7 incl. weekends and Public Holidays.
  • Respond to new inquiries/appointments (EE acknowledgment, appointment acknowledgment, PDA generation).
  • Monitor and adhere to code of conduct and compliance.
Required experience and skills:
Experience in the Marine industry.
  • Other job qualifications:
    • Excellent command of the English language (spoken & written);
    • Familiar with MS Office applications
    • Good communication skills and Good telephone manners.
  • Other general qualifications:
    • Work on own initiative within a team; Ability to work under pressure;
    • Versatile and adaptable to varied working conditions;
