What you will do:
The Senior Specialist - Workplace Management is responsible for ensuring efficient Workplace management operations to enhance workplace creativity:
Develop and execute workplace guidelines ensuring alignment with the playbook, guidelines and Governance
Oversee the governance and performance of service providers by ensuring compliance with agreement deliverables and KPIs, reviewing performance reports, and escalating issues or gaps
Manage service providers in the execution of day-to-day Workplace services, ensuring they effectively coordinate with third-party partners to deliver agreed services and maintenance
Manage the interaction between service providers, suppliers and contractors to facilitate maintenance and facility services
Supervise maintenance works and conduct facility inspections to ensure operational efficiency
Coordinate and support service providers in implementing plans for office space allocation and layout optimization
Manage and plan office supplies consumption and raise timely orders
Be responsible for the coordination of catering needs, ensuring services are delivered as per requirements and escalate issues for timely resolution
Assist in contract preparation and monitor compliance with regulations and standards
Collate and consolidate budget inputs to VP / SVP for review
Contribute to continuous improvement and implement relevant policies and procedures
What will you bring:
Minimum Qualifications:
Bachelor degree in Interior Design, Engineering (preferred Architectural, Civil, Electrical, Mechanical), business administration or equivalent
Experience:
2-4 years of relevant experience
Workplace operation(s) management
Office support, Facilities Management and Space management
Contract administration and management
Budget management and reporting
Supplier engagement and management
Knowledge:
Good commercial acumen & organisational skills
Knowledge of the office administration and operations, space management and office layout
Accreditation and/or awareness of WELL & LEED frameworks is beneficial
Knowledge of office supplies management
Analytical skills and attention to detail(s)
