Job Purpose
The Senior Document Controller is responsible for managing and controlling all project documentation throughout the Concept, FEED, EPC, procurement, construction, pre-commissioning, commissioning, and handover phases of the Project. The role ensures that all engineering, vendor, contractor, client, and project documentation is processed, controlled, distributed, and archived in compliance with ADNOC, PMC, and project document control procedures while maintaining data integrity, traceability, and timely document flow across multidisciplinary teams.
Key Responsibilities
- Establish, implement, and maintain project document control procedures in accordance with ADNOC and PMC requirements.
- Manage document control activities for Concept, FEED, EPC, procurement, construction, commissioning, and project close-out.
- Register, classify, distribute, transmit, and archive all engineering, vendor, contractor, and client documents.
- Ensure accurate document numbering, revision control, metadata management, and document status tracking.
- Coordinate the submission, review, approval, and transmittal of engineering deliverables between PMC, ADNOC, EPC Contractors, licensors, vendors, and third-party stakeholders.
- Monitor document review cycles and proactively follow up to ensure timely approvals.
- Maintain document registers, master document indexes, deliverable trackers, and transmittal logs.
- Ensure all project documentation is uploaded, maintained, and updated within the approved Electronic Document Management System (EDMS).
- Generate periodic document control reports, KPIs, overdue review reports, and management dashboards.
- Support engineering disciplines by ensuring timely availability of current revisions and superseded document control.
- Coordinate vendor document review processes and ensure compliance with contractual document submission requirements.
- Verify completeness and quality of incoming and outgoing documentation before distribution.
- Support construction and commissioning teams by ensuring controlled distribution of approved drawings and technical documents.
- Manage project records, final documentation, turnover dossiers, and project close-out documentation.
- Ensure compliance with ADNOC document control standards, ISO quality requirements, and company procedures.
- Provide guidance and mentoring to Document Controllers and project administration personnel.
- Interface effectively with Engineering, Procurement, Construction, Commissioning, Quality, Project Controls, and Client teams.
Minimum Qualification & Experience
- A bachelor’s degree in any discipline or equivalent from an accredited university with a minimum of 10+ years in Electronic Documentation Management Systems in the Oil & Gas or Petrochemical Projects including minimum five (5) years (preferred) in GCC region.
- Proven experience supporting Concept, FEED, EPC, Construction, and Commissioning phases.
- ADNOC project experience is required.
- Offshore project experience is required.
- PMC experiences are preferrable.
- Experience in FEED & EPC Phases is required.
- Experience managing multidisciplinary engineering documentation for Onshore and Offshore facilities.
Technical Competencies
- Strong knowledge of engineering document control processes and lifecycle management.
- Extensive experience with Electronic Document Management Systems (EDMS) such as Aconex, SharePoint, Documentum, OpenText, or similar platforms.
- Excellent understanding of document numbering systems, revision control, transmittals, workflows, and document distribution.
- Proficiency in Microsoft Office Suite, particularly Excel and Word.
- Experience in preparing document registers, MDRs (Master Deliverable Registers), document status reports, and KPI reports.
- Familiarity with ISO 9001 quality management systems and records management requirements.
- Ability to manage high-volume engineering documentation across multiple contractors and disciplines.
