Job Description

The position of Reservations Officer is pivotal in ensuring the smooth operation of our booking and reservations system. As a Reservations Officer, you will play a crucial role in managing and overseeing the reservation process from start to finish. You will be responsible for processing customer requests, ensuring accurate bookings, and providing excellent service to clients. Your impeccable attention to detail, alongside superior organizational skills, will ensure that all reservations are handled efficiently and effectively. You will also liaise with various departments to ensure all customer requirements are met, helping in maximizing sales profit and ensuring customer satisfaction. Your ability to manage multiple tasks while maintaining a high level of customer service is essential to your success in this role.


Responsibilities

  • Manage and process customer reservations via phone, email, and online forms.
  • Ensure all booking information is correctly recorded in the reservation system.
  • Coordinate with the sales team to optimize booking schedules and availability.
  • Respond promptly to customer inquiries and resolve any booking issues or conflicts.
  • Maintain an organized and accurate reservations database for all upcoming bookings.
  • Develop and maintain positive relationships with clients and department teams.
  • Prepare and distribute booking confirmations and relevant information to clients.
  • Monitor reservation alterations and inform customers of any changes or adjustments.
  • Provide exceptional customer service to enhance the overall guest experience.
  • Collect and update detailed guest data to comply with privacy and company policies.
  • Work with other departments to ensure seamless service delivery and guest satisfaction.
  • Analyze and report on reservation statistics to help improve service outcomes.

Requirements

  • Bachelor's degree in Hospitality, Business Administration, or a related field.
  • Proven experience in a reservations or customer service role is preferred.
  • Excellent communication skills both verbal and written are essential.
  • Strong organizational and time management skills to handle multiple tasks.
  • Proficient in using reservation management software and MS Office applications.
  • Ability to work flexible hours including weekends and holidays as required.
  • Strong problem-solving skills with the ability to handle conflict resolutions.
