As a Receptionist II, you will be the first point of contact for our clients, visitors, and staff, contributing significantly to the overall atmosphere of the office. You will assist in managing the day-to-day operations of the reception area, and your role will be crucial in ensuring seamless communication and operational efficiency. With your multi-tasking skills, you will liaise across departments, support administrative tasks, and uphold the highest standard of customer service. Responsibilities

  • Greet and welcome visitors and clients with a positive attitude.
  • Manage the front desk, answering and directing phone calls appropriately.
  • Coordinate and schedule appointments, meetings, and conference calls.
  • Assist in maintaining the security and cleanliness of the front office area.
  • Handle incoming and outgoing mail, packages, and courier services efficiently.
  • Maintain and update contact lists and address books regularly.
  • Provide general administrative and clerical support as needed by the team.
  • Ensure timely and accurate communication within departments and stakeholders.
  • Assist in the organization and coordination of office events and programs.
  • Keep the reception area organized and stocked with necessary supplies.
  • Handle inquiries and provide accurate information regarding office services.
  • Support the management in compiling reports and presentations as needed.

Requirements

  • High school diploma or equivalent; additional certification is a plus.
  • Proven experience working as a receptionist or in a similar role.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Strong organizational skills and exceptional attention to detail required.
  • Proficiency in MS Office Suite (Word, Excel, Outlook) is necessary.
  • Ability to manage multiple tasks and prioritize effectively under pressure.
  • Dependable, punctual, and can maintain confidentiality in all tasks.
