Job Description

We are seeking an organized and dynamic Receptionist cum Secretary to join our team and provide exceptional administrative support. This role is pivotal in managing front-desk activities while also supporting various secretarial functions within our organization. The ideal candidate will be adept at multitasking, possess strong communication skills, and exhibit a friendly and professional demeanor. You will be the first point of contact for visitors, handling inquiries efficiently and professionally. Additionally, you will assist the management team with scheduling, data entry, and document preparation. Your contributions will ensure operations run smoothly and foster a welcoming environment for all staff and guests.


Responsibilities

  • Greet and assist visitors, ensuring a positive first impression of the company.
  • Answer and direct incoming phone calls efficiently and professionally.
  • Maintain the reception area ensuring it is tidy and welcoming at all times.
  • Manage appointment scheduling, including coordinating meetings and conferences.
  • Maintain and update office records, files, and documentations accurately.
  • Assist in the preparation and distribution of internal and external correspondence.
  • Oversee incoming and outgoing mail and deliveries and manage courier services.
  • Handle travel arrangements and itineraries for senior management and staff.
  • Coordinate and manage office supplies inventory, placing orders as needed.
  • Support in planning and executing company events, meetings, and conferences.
  • Act as a liaison between departments to ensure efficient operations and communications.
  • Implement company policies by scheduling and maintaining essential appointments.

Requirements

  • Proven experience as a receptionist, secretary, or in a similar administrative role.
  • Excellent communication and interpersonal skills, both verbal and written.
  • Strong organizational and multitasking abilities with great attention to detail.
  • Proficiency in Microsoft Office Suite and familiarity with office equipment.
  • Ability to manage sensitive information with discretion and confidentiality.
  • Customer service orientation with a professional appearance and attitude.
  • Capability to handle multiple tasks simultaneously and meet tight deadlines.
