Job Description

We are seeking a friendly and organized Receptionist to join our team and be the first point of contact for our visitors and clients. As a Receptionist, you will be responsible for creating a welcoming environment and providing excellent support to ensure the smooth operation of the front desk. This role requires outstanding communication skills, attention to detail, and the ability to multitask effectively. The ideal candidate will possess a professional appearance, be punctual, and demonstrate a high level of customer service at all times. You will handle a variety of administrative tasks, help manage incoming and outgoing correspondence, and assist in maintaining the office environment.


Responsibilities

  • Greet and welcome visitors professionally, ensuring they sign in correctly.
  • Answer, screen, and forward incoming phone calls in a timely manner.
  • Provide accurate information in-person and via phone or email to clients.
  • Maintain a tidy and organized reception area and waiting space.
  • Ensure reception desk is stocked with necessary supplies and materials.
  • Manage and coordinate the distribution and collection of mail and deliveries.
  • Schedule and confirm appointments for office personnel and executives.
  • Assist with administrative tasks such as filing, photocopying, and scanning documents.
  • Keep records of visitor logs and maintain confidentiality at all times.
  • Support office events and meetings with logistical arrangements as needed.
  • Collaborate with other departments to ensure smooth operations and communications.
  • Handle queries and complaints in a courteous and professional manner.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and office equipment handling.
  • Solid written and verbal communication skills with attention to detail.
  • Ability to be resourceful and proactive in dealing with issues as they arise.
  • Excellent organizational skills with the capacity to prioritize tasks effectively.
  • Customer service attitude, displaying patience and positive demeanor.
  • High school diploma; additional certification or proficiency in office management is a plus.
