Responsibilities

  • Greet and direct visitors to the appropriate staff or departments promptly.
  • Answer, screen, and forward phone calls in a professional manner.
  • Maintain a tidy and welcoming reception area to enhance our company image.
  • Manage the calendar and coordinate appointments for several meeting rooms.
  • Receive and sort daily mail and deliveries, ensuring timely distribution.
  • Assist with filing, scanning, and other clerical duties as assigned.
  • Update and track visitor logs and maintain security protocols in the office.
  • Book and manage transportation and accommodation arrangements as needed.
  • Provide basic and accurate information in-person and via phone/email.
  • Support office operations by ordering supplies and managing inventory levels.
  • Collaborate with staff to ensure seamless office management and operations.
  • Participate in various administrative projects to support department goals.

Requirements

  • High school diploma or equivalent qualification; additional certification is a plus.
  • Proven experience as a receptionist, administrative assistant, or similar role.
  • Proficiency in Microsoft Office Suite and common office equipment.
  • Strong verbal and written communication skills, with a professional demeanor.
  • Exceptional organizational skills and multitasking abilities are essential.
  • Ability to manage sensitive information with the highest confidentiality standards.
  • Excellent time management skills and ability to prioritize tasks effectively.
