Job Description

As a Receptionist, you will be the first point of contact for our organization, and therefore, you must present a polished and professional demeanor at all times. Your primary responsibility is to welcome and attend to the needs of visitors and guests to ensure their experience is positive and reflective of our high standards. You will manage the front desk on a daily basis, performing a variety of administrative and clerical tasks. You will need to handle inquiries efficiently, manage correspondence, and coordinate with various departments to ensure the smooth operation of daily activities. In addition, the role requires someone who is organized, detail-oriented, and capable of multitasking in a dynamic environment with minimal supervision.


Responsibilities

  • Greet and welcome visitors as they arrive at the office premises.
  • Direct visitors appropriately and notify company personnel of visitor arrival.
  • Answer, screen, and forward incoming phone calls in a professional manner.
  • Maintain the reception area and all common areas in a clean and tidy manner.
  • Receive and sort daily mail and deliveries, distributing them accordingly.
  • Manage booking and scheduling of conference rooms for company meetings.
  • Assist in the preparation of daily administrative documents and reports.
  • Coordinate with internal departments to ensure smooth communication and workflow.
  • Maintain office security by controlling access via the reception desk.
  • Update calendars and schedule meetings as necessary to assist staff.
  • Provide exceptional customer service and resolve visitors’ inquiries promptly.
  • Ensure the telecommunication system is functioning properly and report issues.

Requirements

  • Proven work experience as a receptionist, front office representative, or similar role.
  • Proficiency in Microsoft Office Suite and relevant office management software.
  • Hands-on experience with office equipment, such as fax machines and printers.
  • Professional attitude and appearance, with excellent interpersonal skills.
  • Strong written and verbal communication abilities essential for interaction.
  • Ability to be resourceful and proactive in effectively dealing with issues.
  • Multitasking and time-management skills, with the ability to prioritize tasks.
