Job Description

As a Receptionist, you will be the first point of contact for our company. Our Receptionist’s duties include offering administrative support across the organization. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls. To be successful as a Receptionist, you should have a pleasant personality, as this is also a customer service role. You should have an outgoing and approachable demeanor to create a welcoming experience for visitors. Multitasking and stress management skills are essential for this position, ensuring efficient and smooth operations within the office.


Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office location.
  • Answer, screen, and forward incoming phone calls professionally.
  • Ensure the reception area is tidy and presentable, with all necessary stationeries.
  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort, and distribute daily mail and deliveries promptly.
  • Maintain office security by following safety procedures and controlling access.
  • Handle various administrative tasks such as filing, photocopying, and faxing.
  • Coordinate with other departments to ensure seamless front-desk operations.
  • Assist in booking and organizing meeting rooms as necessary.
  • Order front office supplies and keep inventory of stock regularly.
  • Schedule appointments and update calendars timely and accurately.

Requirements

  • Proven work experience as a Receptionist or similar role in an office setting.
  • Proficiency in Microsoft Office suite and familiarity with office equipment.
  • Strong communication and interpersonal skills to engage with clients and staff.
  • Ability to work under pressure and handle challenging situations calmly.
  • Excellent organizational and multitasking abilities to prioritize tasks effectively.
  • High school diploma or equivalent; additional certification is a plus.
  • Professional attitude and appearance to reflect company values positively.
