Job Description

As the first point of contact for clients and visitors, a Receptionist plays a pivotal role in creating a welcoming and professional environment for any organization. The position requires strong interpersonal skills, impeccable organization, and the ability to multitask in a fast-paced setting. By ensuring smooth operations in the reception area, a Receptionist contributes significantly to the overall efficiency and impression of a company. Whether handling queries, managing appointments, or directing communications, the Receptionist is essential in maintaining the first line of communication between clients and the organization. An ideal candidate is detail-oriented, with excellent communication capabilities, and thrives in a front-facing customer service role.


Responsibilities

  • Greet and welcome guests upon arrival at the office promptly.
  • Direct visitors to the appropriate person or department efficiently.
  • Answer, screen, and forward incoming phone calls accurately.
  • Provide basic and accurate information in response to inquiries.
  • Receive, sort, and distribute daily mail and deliveries properly.
  • Ensure the reception area is tidy and presents a professional image.
  • Maintain office security by following safety protocols vigilantly.
  • Schedule and confirm appointments and meetings as required.
  • Perform clerical tasks such as filing, photocopying, and faxing when necessary.
  • Update calendars and schedule appointments using digital tools.
  • Handle administrative requests from senior management efficiently.
  • Collaborate with colleagues to ensure seamless office operations.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative or similar role.
  • Proficiency in Microsoft Office Suite and office management software.
  • Hands-on experience with office equipment such as printers and fax machines.
  • Strong verbal and written communication skills in the English language.
  • Professional attitude and appearance to uphold the company's image.
  • Ability to manage time effectively and prioritize tasks efficiently.
  • High school diploma; additional certification in Office Management is a plus.
