Job Description

We are seeking a highly organized and personable Receptionist to join our team. As the first point of contact for our company, you will be responsible for creating a warm and welcoming environment for all our guests and employees. Your main duties will include managing the front desk operations, handling incoming calls, scheduling appointments, and providing administrative support as needed. You will play a critical role in ensuring smooth communication within and outside the company and must possess excellent communication skills. Responsibilities

  • Greet visitors and determine the purpose of their visit professionally.
  • Ensure the reception area is tidy and presentable for guests.
  • Answer, screen, and forward incoming phone calls promptly and courteously.
  • Receive and distribute daily mail and packages to correct addresses.
  • Maintain security by following procedures and controlling access points.
  • Schedule and manage appointments, meetings, and conference room bookings.
  • Provide general information to visitors and respond to inquiries efficiently.
  • Assist in preparing documents, spreadsheets, and reports as required.
  • Keep updated records of office expenses and costs systematically.
  • Coordinate with office suppliers for inventory management and ordering supplies.
  • Assist colleagues with administrative tasks and other project coordination.
  • Support HR in scheduling interviews and greet candidates professionally.

Requirements

  • High school diploma or equivalent; higher education will be advantageous.
  • Proven work experience as a Receptionist or relevant role is preferred.
  • Excellent communication skills, both verbal and written, are essential.
  • Proficiency in Microsoft Office Suite and office equipment operation.
  • Must exhibit a professional and friendly demeanor to create a positive impression.
  • Strong organizational skills and ability to multitask in a busy environment.
  • Attention to detail with the capacity to follow established procedures accurately.
