Job Description

We are seeking a highly organized and personable Receptionist to join our team. As the first point of contact for our company, the Receptionist is responsible for creating a welcoming and professional environment. You will play a key role in managing communication, directing visitors to the appropriate departments, and supporting various administrative tasks. Your ability to handle a multitude of tasks with grace and efficiency will be essential. We are looking for someone who is not only skillful in administrative functions but also exudes a positive presence in the workspace. Responsibilities

  • Greet and welcome visitors in a friendly and professional manner.
  • Answer, screen, and forward incoming phone calls to the respective departments.
  • Maintain the reception area, ensuring it is tidy and presentable.
  • Receive, sort, and distribute daily mail and deliveries to staff members.
  • Maintain office security by following safety procedures and controlling access.
  • Schedule appointments and update calendars for executives and staff members.
  • Assist with various administrative tasks, including copying, faxing, and filing documents.
  • Provide accurate information about our offices and services to visitors or callers.
  • Coordinate with the housekeeping team for facility management as needed.
  • Manage inventory of office supplies and place orders as necessary.
  • Support other departments with ad-hoc tasks as required for operations.
  • Assist in preparing conference rooms for meetings and events.

Requirements

  • High school diploma or equivalent education required for this position.
  • Proven work experience as a Receptionist or in a similar role is preferred.
  • Proficient in Microsoft Office Suite, specifically Word, Excel, and Outlook.
  • Excellent verbal communication and interpersonal skills are essential.
  • Strong organizational skills with the ability to multitask effectively.
  • Professional attitude and appearance with a customer service focus.
  • Ability to handle sensitive information with confidentiality and discretion.
